Office Operations & Infrastructure: Manage office setup, including rentals, furniture leasing, IT/Internet coordination, and vehicle management. You will also handle the procurement of office supplies and maintain equipment like printers.
- Project Administration: Track deadlines, task lists, and project statuses while keeping all documentation up to date. You will prepare reports and data for sustainability reporting.
- Engineering Support: Work closely with the Engineering team to handle ad hoc procurements (e.g., safety gear like masks and shoes) and arrange entry permits for subcontractors.
- Financial Administration: Prepare expense sheets, issue certificates of completion (for review by the Financial Specialist), and issue purchase orders using established provider processes.
- Executive & Guest Support: Act as the primary point of contact for visiting colleagues, arranging their hotels, taxis, car rentals, and restaurant bookings.
- Meeting Coordination: Organize meetings, manage invitations/reminders, and take minutes to ensure clear communication between internal teams and external partners.
Requirements
Education: Minimum of a secondary school leaving certificate.
Experience: 1–3 years of professional experience in administration or office management.
Language: Active, communicative English skills.
Technical Skills: Basic MS Excel skills for data entry and administrative tracking.
Attributes: High level of reliability, attention to detail, and a proactive "can-do" attitude.
