how you will contribute
- The Role We are seeking a proactive, detail-oriented, and bilingual Digital Learning Administrator to support our global learning operations specifically for the Global Digital Learning Optimization & Enablement team. This role is crucial in executing the core administrative functions of our learning ecosystems, Workday Learning and Sana, with a specialized focus on supporting our Spanish-speaking user base.
- The Administrator will be responsible for managing day-to-day platform operations, processing user data, handling Spanish-language support tickets, and managing localized content lifecycle workflows to support our global learning expansion and engagement goals.
your typical day includes
- System Stewardship: Managing user lifecycles, license levels, and group allocations to ensure every learner has the right access at the right time.
- Technical Problem-Solving: Acting as the first line of technical support for global users and troubleshooting SCORM, API, or access issues.
- Data Orchestration: Running complex reports, managing the financial recharge process based on usage, and ensuring our global compliance data is bulletproof.
- Collaboration: Partnering with regional "platform champions" to gather feedback and overseeing the testing of system patches to ensure zero disruption to our customizations.
your responsibilities include
Core Platform Administration: Workday Learning & Sana (40%)
- System Operations: Serve as the primary system administrator, handling daily system operations, configurations, user security settings, and overall platform health across English and Spanish learning environments.
- User Management: Process users within Workday, managing user profiles, role assignments, and access permissions across the learning ecosystem.
- Dynamic Audiences: Build, configure, and maintain precise learner audiences—utilizing Workday Learner Groups and Sana Smart Groups with dynamic filters—to ensure targeted delivery of compliance and developmental learning for specific regional and language groups.
- AI Automation: Utilize Sana’s AI-driven "Admin Mode" to automate bulk administrative workflows via natural language commands (e.g., bulk user assignments, targeted reminders).
- Learning Journeys: Create and manage structured learning journeys, including Programs, Teamspaces, and Blended courses for both global and regional audiences.
- Instructor & Assessor Governance: Provision controlled Workday access for internal/external instructors and assessors, and manage complex Instructor-Led Training (ILT) logistics including waitlists and capacity limits for Spanish-language sessions.
Enrollment & Campaign Management (25%)
- Campaign Deployment: Create, deploy, and monitor targeted learning campaigns, automated enrollment rules, and mass assignments within Workday Learning and Sana, ensuring regional campaigns are accurately localized.
- Compliance Escalations: Execute strict, multi-level global compliance escalation protocols (e.g., 7-day and 30-day past due workflows) and collaborate with managers and the Talent CoE on formal non-compliance procedures.
- Complex Enrollments: Handle day-to-day enrollment tasks, including managing drop justifications, manual manager approval overrides (for courses with associated costs or durations over one day), and grading.
- Reporting: Generate and analyze custom reports within both platforms to track learner progress, completion rates, and offering outcomes, sharing actionable insights with key regional stakeholders.
Content Management & Creation (20%)
- Spanish Content Management: Manage the end-to-end content upload, testing, archiving, and publishing process for Spanish-language digital learning types (e.g., e-learning modules, videos, assessments), ensuring linguistic accuracy and proper formatting.
- Request Triage: Triage new learning content requests via Workday Help, strictly cross-referencing the catalog to prevent duplicate content, and prioritizing requests (High/Standard) for the Talent CoE.
- Quality Assurance & Tagging: Strictly enforce content quality by ensuring all learning items (in both English and Spanish) are accurately tagged with a minimum number of required skills, competencies, and leadership expectations prior to publishing.
- Authoring & Curation: Assist in building, formatting, and curating localized digital learning content directly within the platforms, leveraging native AI-powered authoring tools to streamline creation.
Stakeholder Support & Ticketing (15%)
- Bilingual Case Management: Act as the primary administrative support for Spanish-speaking internal stakeholders, addressing and resolving platform, access, and enrollment queries originating specifically from Workday Help in both Spanish and English.
- Troubleshooting: Investigate and troubleshoot Level 1 and Level 2 learner inquiries, including enrollment status errors, course access issues, and technical difficulties for regional users.
- Feedback Analytics: Extract and analyze structured Workday Learning surveys to identify content defects and track learner satisfaction, compensating for disabled free-text commenting.
Collaboration: Foster strong collaborative relationships with content creators, product owners, and regional HR teams in LATAM/Spain to ensure successful deployment of digital learning initiatives.
